Willow Bridge Home
From manual booking and placement coordination to a connected, automated next step.
The problem
Willow Bridge Home had online inquiry and intake paths, but too much of the work after submission still depended on manual owner coordination.
Tour booking
Families could request a visit, but availability checks, callbacks, scheduling, and confirmation still needed the owner. Reminders, rescheduling, and cancellations added more work.
A simple “Can I visit?” could take several manual steps before a confirmed appointment.
Placement intake & professional referrals
Families and professionals could submit information, but missing documents, urgent timing, accessibility needs, and unclear next actions could stall progress. The owner had to check completeness and decide what happened next.
A submission did not reliably move to the right next step.
Families also had to contact the home to learn whether a room or accessible option was available and what the rooms and residence looked like. After placement review, an approved admission still needed a separate handoff for the agreement, payment arrangements, and move-in next steps.
What we changed
- Inquiry / Referral
- Guided Intake
- Readiness Check
- Availability & Accessibility
- Intelligent Routing
- Appointment
- Confirmation
- Automated Follow-Through
- Human Review When Required
- Admission Agreement & Payment Arrangementsafter human approval
Live Updates, Tour the Home, and accessible property imagery let families see the home and current availability before a routine owner reply. Guided placement intake checks timing, missing information, availability, and accessibility to route the next appointment; confirmations, reminders, and booking management follow through. Exceptions go to Human Review. Only after a person approves placement do agreement and payment arrangements begin. Clinical, legal, funding eligibility, and final admission decisions stay with people.

Instead of treating this urgent, incomplete referral as a routine booking, Willow Bridge surfaces the exception for human judgment while the workflow prepares the administrative follow-up.

Routine administrative work moves automatically. Human judgment stays with the human.
Families get a clearer path from inquiry to Confirmation. Referrals are handled according to urgency and completeness, rather than all the same way. The owner can focus on exceptions instead of coordinating every routine step; placement approval remains a human decision.
